Lesson

AI in familiar office work

Microsoft Copilot and similar assistants live inside document tools. The idea is not fancy: they help you draft, tighten, or rewrite a piece of text without leaving the file. If you do not have Copilot, the same pattern works with any AI chat and a paste-back workflow.

The 'draft then polish' loop

Write a rough version first, even a messy one. Then ask AI: 'Polish this. Keep my voice. Fix grammar and repetition. Do not add facts.' You will finish faster and sound like you, because you started as you.

Meeting notes and consent

If AI transcribes or summarizes a meeting, everyone in the meeting should know. Do not record without consent. In many countries, unannounced recording is illegal. A simple sentence at the start of the meeting is enough: 'I am using an AI note-taker; please let me know if that is a problem.'

Documents to be careful with

Contracts, HR files, payroll, medical, and financial documents deserve extra care. Even if your workplace allows AI, redact identifiers and share only what the AI needs. When in doubt, ask your manager.

Example — Mauritius admin work

An office assistant drafts a rough 1-page memo, then asks Copilot to 'tighten this and keep my voice, do not add anything new'. She rereads the polished version, keeps her personal opening sentence, and sends it. The memo took 15 minutes instead of an hour.

Take one document you would normally write this week (a memo, an email, a short report). Draft it roughly in your own words. Ask AI to polish it with the prompt above. Compare and keep at least one of your original sentences in the final version.
