Lesson

Three cases cover 80% of replies

Most customer messages fall into three buckets: a new inquiry ('how much?'), a complaint ('my order was late'), or a follow-up ('any update?'). If you have a template for each, you cover most of your daily volume in minutes.

Warm, honest, specific

A good reply names the person's concern, gives one clear next step, and does not over-promise. 'We are sorry your order arrived late. Here is what we can do today: X. Please tell us which you prefer.'

No fake urgency, no fake discounts

'Only for you, only today' pressure damages trust. If you offer something, be honest about who else can get it and for how long. Real discounts are fine; invented ones are dishonest.

Privacy in every draft

Never paste real customer names, phone numbers, order numbers, or delivery addresses into an AI chat. Use placeholders. A first name only is often enough for tone; identifiers add nothing to the draft and add risk.

Example — Mauritius bilingual reply

A shop owner drafts a bilingual reply to a late-delivery complaint using [customer first name] as a placeholder. The AI returns English and French versions. She checks both, edits one line, and sends the French version.

Prompt template

Customer reply prompt (3 tones)

Draft 3 versions of a reply, in [language].
Case: [inquiry / complaint / follow-up].
Context: [1–2 sentences, use placeholders for names and order numbers].
Goal: [what should happen next].
Tones: warm / professional / brief.
