Learn how to draft, refine, summarize, and improve everyday messages.
ChatGPT does its best work when you tell it four things: who it should act as, what it should do, who the reader is, and what limits to follow. A one-line request like 'write me a message' produces generic writing. The same request with role, task, audience, and constraints produces something you can use in minutes.
Role — 'You are a friendly small-business writer.' Task — 'Draft a follow-up message to a customer who has not replied.' Audience — 'A first-time buyer.' Constraints — 'Warm, under 60 words, no discounts, no pressure.' You can save this pattern as a note and reuse it every day.
After the first reply, do not delete the chat and start again. Say what to change: 'shorter', 'more formal', 'remove the emoji', 'give three variations'. Each follow-up costs you seconds and teaches you what small changes do to the output.
If you have asked for three revisions and the reply is still not right, the prompt is probably missing information. Open a plain notes app, edit the last version by hand, and use that as the starting point for the next round.
A freelance designer in Kathmandu asks ChatGPT: 'You are a polite freelance-work writer. Draft a 60-word follow-up to a client who saw my proposal 6 days ago. Audience: a small NGO director. Do not push, no discount, offer a short call.' The reply is used with two small edits.
